How to create an event in Guestii on the dashboard

Setting up an event in Guestii takes a few minutes, and everything you set at creation can be changed later through Manage Event. This article covers both.

Creating an event

From your Hub, tap New Event and work through the setup. Required fields are marked, and you'll need them completed before you can publish.

Details

  • Banner image (required): shows at the top of your event profile and on event cards

  • Promo video (optional): plays muted and blurred behind your banner on the event profile. mp4, webm or mov, max 30 seconds, max 50MB

  • Event name (required), plus a description to tell guests about the night

  • Dress code and genres: both appear on your event page on Guest Line, so guests know what to expect before they request or purchase tickets.

Date & Time

Set your start and end (both required). Your event page shows a live doors countdown based on these.

You'll also see a Recurring option here. Pick a cadence of Weekly, Fortnightly or Monthly and Guestii generates each new instance automatically, carrying across your event information and team invites. See Recurring and Pre-generated Events.

Venue

Search and select the venue or residency this event runs under (required).

Performers

Build your lineup. Search Spotify to auto-fill an artist's name and photo, or add custom artists for residents and locals. Tag each performer with their role on the bill, such as Headliner, Support or Resident, this will show on the event page in Guest Line!

Tickets

Four settings control access to your event:

  • Hide from Guest Line Profiles: when on, this event won't appear on organiser, venue or promoter public profiles on Guest Line. Use this for private or invite-only nights

  • Allow Guest List Requests: lets fans request a spot on your guestlist from your event page. If your event has no online releases yet, this stays locked on, as guest list requests are the only way fans can reach you

  • Enable waitlist: lets fans sign up before tickets drop and get notified the moment a release goes on sale. Applies to every scheduled release on the event

  • Allow ticket refunds: lets buyers refund their order or individual tickets up until the event starts. Refunds are paid from your Square balance, and Square's processing fee and the Guest Line ticket fee are non-refundable

Below these you'll set up your ticketing:

  • Door tickets (at least one required): what you sell or comp at the door. Free comps and walk-up sales live here. You can also set a default ticket type for invited guests, applied whenever no ticket type is picked in the invite flow. Ticket types with Quick Action on show as one-tap tiles in the Reception App

  • Online releases: build releases by selecting from your existing ticket types. Ticket types themselves are created in Products, so have them ready before you build your event. See the Products collection

Booths

Import the booth packages you want available on this event. Packages are set up at venue level, and any package sitting in a booth area on your floor plan appears on the floor plan in your Guest Line profile for guests to book. You can also set a default ticket type for booth approvals, and choose whether guests pick a specific booth from your floor plan or see a plain list of packages. Publishing

Hit Publish event and your event goes live on your venue's profile page immediately, unless you've hidden it from Guest Line Profiles. There's no draft state, so only publish when you're ready to be seen.

Editing your event

Open your event and tap Manage Event. You'll find the same sections as setup, and changes apply as soon as you hit Save Changes, including while your event is live.
