How Guests Request a Birthday

This article covers what your guests see when they book a birthday with you. Knowing the flow helps you set your packages up properly and answer the questions that land in your inbox.

Where the request starts

Guests find your birthday packages on your venue's Guest Line profile. Any package you have made available at that venue appears for them to choose from, with the package name and description you wrote.

The request runs as a short three step flow, ending with the guest's group.

What the guest provides

Across the flow the guest gives you:

  • Their date of birth, which is why birthdays are worth running through Guestii rather than a message thread. Every request feeds a real birthday date into your CRM

  • Their contact details, email and phone

  • The event and date they want

  • Their party size, restricted to the range you set on the package. The allowed range is shown to them as they choose, for example "2 to 10 people"

  • Every guest name in the party. The person requesting is marked as the main guest, and they type in the rest

  • Anything else, an optional free text field for special requests, dietary needs and celebrations

Why the name order matters

The order the guest types their party in is the order your ticket rules are applied in. The main guest is always first, then everyone else in the order entered.

If your package gives the first few guests a free ticket, those tickets go to the main guest and the names listed straight after. Guests do not necessarily know that, so it is worth a line in your package description telling them to list their party in the order they want.

Submitting

The guest confirms with Slide to request. The request lands in your Requests tab immediately with a Birthday badge and the full party attached, marked Pending until you action it. See Approving a Birthday Request.

What happens next for the guest

Nothing is confirmed until you approve. Once you do, the guest receives a confirmation email with their QR code and their Guest Line Pass.

Where the request came from

Every request records its source. A request made from your venue's profile shows the venue as the source, so when promoters and other channels start sending birthdays your way you can see which ones are actually producing.
