Connecting Square Payment Hardware in the Reception App

Once you're logged into the Reception App, you'll need to connect your Square payment hardware before you can process payments. You can connect either a Square Reader or a Square Terminal depending on what your venue uses. We recommend the Square Terminal as it connects over Wi-Fi and provides a more stable, reliable connection during busy nights.

To get started, open the Settings bar in the Reception App and select your payment method.

Option 1: Square Reader (Bluetooth)

Tap Square Reader, then open Square Settings and select Pair a Reader. The Reader connects via Bluetooth.

If you're pairing a new Reader, hold down the button on the Reader until it starts flashing orange. It will then appear in the pairing list. Once paired, it stays connected automatically.

Option 2: Square Terminal (Wi-Fi)

Tap Square Terminal, then open the Square Guestii Terminal module and tap Continue. Before you begin, make sure the Terminal is powered on and connected to Wi-Fi.

On the Terminal itself, tap Sign In. You'll be prompted to enter a device code. Generate the code from within the Reception App and enter it on the Terminal. The code is valid for 5 minutes, so enter it promptly. Once entered, the Terminal is connected and ready to take payments.

Connection status indicator

At the top of the Reception App, next to the Settings button, you'll see a status icon that shows your connection at a glance.

  • Red means the device is disconnected

  • Orange means it needs to be reconnected

  • Green means it's paired and ready

If you lose connection during an event, tap Settings and reconnect from there, it’s important to also ensure internet is connected.
