Approving a Birthday Request

Birthday requests land in your Requests tab alongside guest list and booth requests. Filter by the Birthday type to work them as their own queue.
Reviewing the request
Click a request to open it. The panel opens with the guest's name, their Guest Line handle and the date they submitted, plus three badges: the status, a Birthday label, and a count of the additional guests in the party.
Above the detail you get their Email and Phone, with the phone number ready to message directly.
Request Details covers everything you need to make the call:
Service: the package they chose
Date of Birth: their actual birthday
Party Size: how many are coming
Event and Event Date: the night they are booked for
Venue: where
Source: where the request came from, for example the venue's own Guest Line profile
Below that, Guests in Party lists every name the guest entered, with the requester marked MAIN.
Declining
Click Decline if you cannot take the party. Use it for parties you genuinely cannot fit, and message the guest first where the request is close, since a birthday you decline is a birthday that goes to another venue.
Inviting the party to the event
Click Invite to Event to open the invite modal.
Guests in Booking confirms the full party, and Event confirms the night. Below that you set the tickets.
Ticket Type
By default the party comes in on your package's ticket rules.
To change the split for this party only, turn on Assign different tickets per guest. The tier builder appears with the same structure as your package: a First [number] get [ticket type] row, an Everyone else gets row, and Add tier to build more layers.
Tickets are assigned in the order the guest listed their party, with the main guest first.
Changes here apply to this booking alone. Your package rules are unchanged. See Setting Ticket Rules for a Birthday Package.
Preview
The Preview panel shows every guest by name with the exact ticket they will come in on. Check it before you send. It is the fastest way to catch a rule that reads correctly but resolves wrong, particularly on smaller parties where a tier overlaps the party size.
Tags
Apply any tags you want carried against the party, or type into Or create a new tag to make one on the spot.
Tags are worth using here. A Birthday or VIP tag on the party makes them visible to your door team on the night and keeps them findable in your CRM afterwards.
Message
The Message field is optional. Anything you write appears at the top of the guest's confirmation email. Leave it blank to skip.
This is the cheapest bit of hospitality in the product. Two lines naming the birthday guest, confirming their arrival time and telling them who to ask for at the door turns a transactional confirmation into something they screenshot and send to the group chat.
Sending
Click Invite to Event. The guest receives a confirmation email containing their QR code and their Guest Line Pass, and the whole party lands on your event guestlist on their assigned tickets, ready to be admitted at the door.
